Finance Administrator / Creditors Clerk

REPORTS TO
Finance Manager

JOB PURPOSE

We are seeking a highly organised and detail-oriented Finance Administrator / Creditors Clerk to join our finance team. The successful candidate will be responsible for managing creditor accounts, maintaining accurate financial records, assisting with general accounting functions, and ensuring supplier payments are processed efficiently while supporting the overall finance department.

KEY RESPONSIBILITIES

Financial Administration
• Capture and reconcile daily cashbook transactions.
• Perform monthly bank reconciliations and investigate discrepancies.
• Prepare and process general ledger journals.
• Assist with monthly management accounts and financial reporting.
• Support the budgeting process by preparing financial information.
• Prepare balance sheet reconciliations and maintain supporting documentation.
• Assist with VAT calculations, reconciliations, and statutory submissions.
• Maintain the company's fixed asset register and record asset movements.
• Review and reconcile rental schedules and related financial records.
• Assist internal and external auditors by providing requested documentation and schedules.

Creditors Administration
• Process supplier invoices accurately and within agreed turnaround times.
• Match supplier invoices against purchase orders and goods received documentation.
• Prepare purchase requisitions and purchase orders where required.
• Reconcile supplier statements and resolve outstanding queries promptly.
• Liaise professionally with suppliers regarding payments, invoices, account queries and discrepancies.
• Ensure supplier accounts are maintained accurately and kept up to date.
• Prepare payment reconciliations for approval.
• Monitor creditor ageing reports and follow up on outstanding items.
• Maintain accurate electronic and manual filing systems.
• Ensure compliance with company financial policies and internal controls.

MINIMUM REQUIREMENTS

• Grade 12 (Matric).
• Certificate or Diploma in Bookkeeping, Finance, Accounting or a related field.
• Minimum of 3–5 years' experience in a finance and creditors environment.
• Working knowledge of accounting principles and financial procedures.
• Experience using accounting software such as Sage, Pastel, Xero, SAP or similar ERP systems.
• Proficient in Microsoft Excel, Word and Outlook.

ADVANTAGEOUS EXPERIENCE

• Previous experience within a retail, manufacturing or distribution environment.
• Knowledge of VAT legislation and financial compliance.
• Experience preparing month-end reports and assisting with year-end audits.

Job Title: Refrigeration Technician (Retail Maintenance)

Job Purpose

We are seeking a qualified and experienced Refrigeration Technician to install, service, maintain and repair commercial refrigeration equipment within retail stores. The successful candidate will ensure refrigeration systems operate efficiently, minimise downtime, and comply with all safety and industry regulations.

Key Responsibilities

- Perform preventative and reactive maintenance on commercial refrigeration systems.
- Diagnose and repair faults on display fridges, cold rooms, freezer rooms, upright and undercounter refrigeration units.
- Service refrigeration racks, condensing units, evaporators, compressors and associated controls.
- Maintain refrigerated display cabinets, island freezers, multideck units and deli refrigeration systems.
- Carry out leak detection, refrigerant recovery, pressure testing and gas charging.
- Replace defective components including compressors, expansion valves, fan motors, thermostats, solenoid valves and electrical controls.
- Conduct electrical fault finding on refrigeration equipment.
- Perform scheduled preventative maintenance according to maintenance plans.
- Respond to emergency breakdowns within agreed service level agreements.
- Complete job cards, maintenance reports and service documentation accurately.
- Ensure compliance with health and safety regulations and company procedures.
- Liaise professionally with store management and clients.
- Maintain tools, equipment and company vehicle in good condition.
- Participate in standby and after-hours call-out duties when required.

Minimum Requirements

- Grade 12 (Matric).
- Qualified Refrigeration and Air Conditioning Artisan.
- Trade Test Certificate (Refrigeration Mechanic).
- Refrigerant Gas Handling Certificate (advantageous).
- Valid driver's licence.
- Minimum 3-5 years' post-trade experience in commercial refrigeration maintenance.
- Proven experience maintaining refrigeration equipment within supermarkets, retail stores or shopping centres.

Technical Experience

Experience working on:

- Retail display refrigerators
- Multideck cabinets
- Island freezers
- Cold rooms
- Freezer rooms
- Walk-in chillers
- Bottle coolers
- Dairy cabinets
- Meat display refrigeration
- Produce refrigeration systems
- Refrigeration racks
- Packaged condensing units

Knowledge of:

- Electrical fault finding
- PLC and electronic controllers (advantageous)
- Carel, Dixell and Danfoss controllers
- Bitzer, Copeland and Danfoss compressors
- Refrigerants including R134a, R404A, R448A, R449A, R410A and CO₂ systems (advantageous)

Required Skills

- Strong fault-finding and diagnostic ability.
- Excellent problem-solving skills.
- Ability to work independently with minimal supervision.
- Good communication and customer service skills.
- Ability to work under pressure.
- Good planning and organisational skills.
- Strong attention to detail.

- Experience working on energy-efficient refrigeration systems.
- Experience supervising junior technicians or apprentices.
