About the Role:
We are seeking a highly organized and detail-oriented Tender Administrator with a proven track record in managing the end-to-end tendering process. The successful candidate will be responsible for preparing, coordinating, and submitting competitive bids for various projects, ensuring strict compliance with procurement requirements, industry regulations, and company policies.

This role requires expertise in high-quality tender submissions across multiple procurement systems, eTender platforms, and tender search portals. The ideal candidate must have strong administration skills, project management, exceptional attention to detail, and the ability to work under tight deadlines while maintaining accuracy and quality.
Additionally, the successful candidate will ensure all tender documents are completed efficiently, submitted on time, and meet the highest standards

Key Responsibilities:
Tender Searches & Opportunity Identification:
• Identify and analyze tender opportunities through various procurement platforms and assess relevance to company capabilities.
• Conduct searches on tender portals such as eTenders, National Treasury Portal, CIDB, private sector procurement websites, and company-specific supplier databases and industry opportunities to identify new bid prospects.
• Maintain a structured database of potential tenders with deadlines, requirements, and status updates.

Tender Coordination & Submission:
• Manage the end-to-end tendering process, including documentation, pricing, and submission.
• Review, Interpret and analyze tender requirements, ensuring compliance with submission guidelines
• Coordinate with internal teams and external stakeholders to gather required information for bids.
• Prepare high-quality bids and ensure error-free and competitive bid submissions in line with client specifications.
• Track tender progress and deadlines, ensuring timely submissions.

Tender Portal & Submission System Management:
• Familiarity with submission portals such as eTenders, Ariba, SAP-based procurement systems, CSD, Tender Bulletin, and corporate supplier portals (e.g., Eskom, Transnet, SANRAL, and municipal e-procurement sites).
• Manage portal registrations, profile updates, and compliance documentation.
• Troubleshoot submission issues and ensure timely electronic or manual bid submissions.

Administration
• Organize and maintain tender-related documents (digital and physical).
• Manage email correspondence and communication with stakeholders.
• Coordinate meetings, briefing sessions and ensure timely submission of tender-related materials.
• Input and update tender details in procurement systems and maintain accurate records.
• Maintain supplier/vendor information and coordinate for necessary documents.
• Provide general office support and assist with miscellaneous tasks as needed.
• Handle ad-hoc administrative tasks, including scheduling, data entry, and meeting minutes.
• Provide back-office support

Requirements:
• Must have an ICT qualification (degree or diploma) with 2 - 3 years of ICT experience.
• Minimum of 3-5 years of experience in tendering, bid coordination, or a similar role.
• Strong understanding of public and private sector tendering processes and compliance requirements.
• Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with e-tendering portals.
• Exceptional organizational and time management skills with the ability to handle multiple tenders simultaneously.
• Strong attention to detail and ability to work under pressure with tight deadlines.
• Knowledge of contract terms, compliance, and risk assessment in tenders.
• A team player with strong communication and administrative skills.
• Ability to work under pressure and meet strict deadlines in a fast-paced environment.

Preferred Qualifications:
• A degree or diploma in ICT is preferred.
• Experience in a professional services or government procurement environment is advantageous.

Duties & Responsibilities
