Role Description:
This is a full-time on-site role for an Executive Administrator. The Executive Administrator will be responsible for managing daily operations, including coordinating and scheduling appointments, managing correspondence, handling invoicing and billing, and performing general administrative duties. The Executive Administrator will also be responsible for managing documentation and records, ensuring proper filing and organization of relevant documents, and liaising with clients and contractors as needed.
Roles and Responsibilities:
▶️Act as the primary point of contact between executives and internal/external clients, ensuring seamless communication and collaboration.
▶️Maintain a daily electronic journal, coordinate meetings and appointments, and provide timely reminders. Manage a master corporate calendar encompassing conferences, all-hands events, holidays, and vacations.
▶️Handle requests, feedback, and queries promptly and professionally, ensuring the satisfaction of both internal and external stakeholders.
▶️Arrange executive travel, hotel accommodations, and dining arrangements as required.
▶️Take dictation and meeting minutes, accurately transcribe notes, and efficiently distribute relevant information.
▶️Monitor office supply levels, initiate reorders when necessary, and maintain strong relationships with vendors to secure the best pricing on supplies and services.
▶️Produce high-quality reports, presentations, and briefs that meet professional standards.
▶️Develop and implement an efficient documentation and filing system for both paper and electronic records.
▶️Delegate tasks appropriately to other team members, fostering a collaborative and productive work environment.
▶️Oversee the attendance register, capture job cards, and convert them into invoices for timely client billing.
▶️Assist with daily job planning and scheduling for teams, ensuring optimal resource utilization.
▶️Manage marketing and social media activities to enhance the company's online presence.
▶️Proactively engage in client relationship management, ensuring client satisfaction and loyalty.
▶️Handle financial administration tasks, leveraging SAGE Accounting expertise as a valuable bonus.
▶️Be flexible to assist with duties outside the typical scope to expand knowledge and contribute to overall company growth.
Collaborate with partners on additional ventures or companies related to HERA Service Solutions within the outlined scope of responsibilities.
