One simple way to make your bookkeeping cleaner?

Stop treating the business bank account like your wallet. 😄

It’s incredibly common in small businesses.

Coffee.
Groceries.
Dinner.
Something for home.

A random purchase that had absolutely nothing to do with the business.

One transaction doesn’t seem like much.

But when there are dozens of personal transactions going through the business account every month, every one still needs to be looked at and reconciled.

It also makes the accounts messier and can make it harder to see what the business is actually spending its money on.

Keeping business and personal spending separate makes the bookkeeping cleaner, quicker and much easier to understand.

Your bookkeeper will thank you too. 😉

Why does HandyBooks only work with Xero?

It wasn’t because I decided every other accounting system was terrible.

It was a business decision.

By specialising in one accounting platform, I can have consistent systems, work more efficiently and know the software extremely well.

That means less time working around different software and more time actually looking after the bookkeeping.

And if a Full Bookkeeping or Strategic Partner client is moving from another accounting system, I can set up Xero and transfer the relevant opening balances as part of getting them started.

Sometimes offering less allows you to provide a better service.

C. I catch everything up when the BAS is due.

“If I made a profit, where’s the money?”

It’s one of the most common things that confuses business owners.

Your profit and the amount sitting in your bank account are not the same thing.

Cash may have gone towards things like:
💰 paying down loans
💰 buying equipment
💰 paying GST or other liabilities
💰 taking money out of the business
💰 paying bills from an earlier period

So a profitable business can still feel short of cash.

And having plenty of money sitting in the bank doesn’t automatically mean the business is profitable either.

That’s why I don’t think bookkeeping should stop at getting everything reconciled.

The numbers become much more useful when you actually understand what they’re telling you.

One thing I wanted to make clearer with the new HandyBooks…

When you work with HandyBooks, you work with me.

There isn’t a junior bookkeeper doing the work behind the scenes.

There isn’t an accounts department.

And there isn’t a different person every time you have a question.

It’s me looking after your books, answering your questions, preparing your BAS and getting to know how your business actually works.

HandyBooks has been around since 2005, but I’ve deliberately kept it personal.

For me, knowing the business behind the numbers is a big part of doing good bookkeeping.

Small business life has a funny way of turning little jobs into much bigger ones.

Sometimes it’s not the big projects that throw out your day, it’s the constant stream of tiny things that all need attention.

I realised the last time I posted on the HandyBooks page was February 2025!

HandyBooks certainly hasn’t been quiet, I just haven’t needed to spend much time marketing for new clients.

But behind the scenes, I’ve recently given HandyBooks a bit of a refresh.

I’ve rebuilt the website, simplified the way I explain my services and made it much clearer about the kind of businesses I love working with.

The important bits haven’t changed.

I’m still Heidi.
I’m still the person actually doing the work.
I still believe business owners should understand their numbers, not just hand everything over and hope for the best.

And I’m still a big believer that good bookkeeping should help you run a better business, not just get your BAS lodged.
