What are you calling in?

Let’s be frank here …

The people who need your help can’t hire you if they don’t know you exist. FACT!

You don’t need to become an influencer.
You don’t need viral reels.
You don’t need thousands of followers.

But you do need to be visible enough that people remember your name when they need you!

When was the last time you gave yourself credit?

Not for what still needs doing.
Not for what you haven’t achieved yet.

For what you’ve already done.

Starting a business takes courage.
Showing up takes courage.
Keeping going takes courage.

Give yourself some credit today.

If your to-do list currently looks like a group chat nobody muted, we see you. And we’ve got you.

Here are 5 apps that will actually make your day feel manageable again:

1. Asana: for task lists that need more structure than “vibes.” Colour code, assign, prioritise, breathe.

2. Claude: your AI thinking partner for everything from drafting emails and writing content to problem-solving and planning. Like having a brilliant colleague on call, minus the small talk.

3. WhatsApp Business: keeps client messages out of your personal phone AND lets you set automated replies. Boundaries on autopilot.

4. Loom: record a quick video instead of writing a 400-word email. Saves time, adds personality, cuts confusion.

5. Google Workspace: Docs, Sheets, Drive, Calendar, Gmail all talking to each other. The organisational backbone of most VA businesses.

Your next client is already doing their research.

They’re reading your Google reviews, scrolling your website, and looking for proof that you’re the real deal.

That proof? It comes from the clients you’ve already supported.

Here’s the thing most VAs wait too long to do and that’s asking for the testimonial while the work is still fresh. Not at the end of the project. Not six months later. RIGHT NOW!

Ask mid-project when results are happening.
Ask after a quick win, not just at the final handover.
Ask in a way that’s easy, a voice note, a short form, a couple of guiding questions.

Clients say things about your work that you’d never think to say about yourself. So Let them.

Your next testimonial could be the thing that lands your next client.

So on your next success, don’t hesitate capture the feedback!

Clarity is the CEO’s most underrated skill.

Not just knowing your numbers, knowing how things feel.

Whether your packages are sustainable.
Whether your time, energy and income are actually aligned.

Most VA business owners stay stuck in client delivery mode and never pause to check in on the bigger picture.

But that pause?
That’s where the real decisions get made.

A CEO check-in doesn’t have to be complicated. It’s just three honest questions:

→ What’s working, and what’s starting to feel heavy?
→ Are my clients and packages still sustainable?
→ Is my time, energy and income in balance?

The more consistently you do this, the more intentional your decisions become.

You don’t need to wing it. You need a rhythm.

Ever had a client on a small retainer who messages like you’re on call 24/7?

You’re not alone. And it’s one of the most common patterns we see VAs struggle with.

Here’s the truth: a limited retainer buys a set number of your hours. It does not buy:

— Access to you whenever they feel like it
— Instant replies outside your working hours
— Extra tasks that quietly creep in over time
— 9–5 availability on a 10-hour-a-month package

Being responsive is part of great service. But being available all day, every day, for a client paying for a fraction of your time? That’s not service. That’s unsustainable.

Boundaries aren’t awkward. They’re professional. They protect your energy, your quality of work, and ultimately your clients too, because a burnt-out VA can’t show up at their best.

If a client wants full availability, the conversation is simple: that’s a different package, at a different price.

Is your retainer structure reflecting the access you’re actually giving?
