THREE MONTHS to train our virtual assistants?! Yep, it was exhausting. 🤦🏼‍♀️ And looking back, we know we could have done things differently.

After six months of hiring, training, and working with virtual assistants (VAs) in our chiropractic practices, we've learned a LOT. Some things worked incredibly well, while others took far more time and effort than we anticipated. Now, we're rethinking our approach with a structured training schedule and a goal of getting new VAs trained in just six weeks.

In Episode 74 of ‘Million Dollar Chiro: The Podcast for Chiropractic Practice Owners,’ Dr. Mary Frances Duncan is continuing the conversation about VAs, sharing what she is changing about how her practices trains VAs and the lessons she would pass along to other practice owners.

And here's something even better: We're happy to share our VA training schedule with you for free. 💬 Comment “TRAINING” if you'd like a copy and we will share.

🎙️ If you're considering hiring VAs, listen to this episode before you start building your own training process! Episode 74 is out now wherever you listen to podcasts.

It’s the most wonderful time of the year…unless you let the holiday chaos hit your practice before you’re ready for it. If you’re waiting until the fall to start preparing, you’re already making things harder on yourself. 🎃 🍂

In Episode 72, Dr. Duncan is answering listener questions about how she prepares her own practices for the busiest months of the year—from planning the calendar and getting holiday marketing ready early to cross-training staff, preparing for difficult patient interactions, budgeting for Q4 expenses, and deciding what can simply wait until next year.

The goal isn’t to have every possible problem figured out before the holidays arrive. It’s to do enough preparation now that when things inevitably get busy, your practice and your team are ready for it—and you can actually enjoy a little bit of that “most wonderful time of the year.” 😉

🎙️ Episode 72: “How to Prepare for the Holidays as a Practice Owner” is out now wherever you listen to Million Dollar Chiro.

The holiday rush is coming whether your practice is ready for it or not. 🎄

Dr. Duncan’s approach? Do as much of the work as possible before things get hectic.

That means getting your holiday calendar and patient communications ready, leaning on cross-trained team members (including those high school interns 🙌🏼), planning holiday promotions early, role-playing the difficult patient conversations you know will eventually happen, and recognizing that some projects really can wait until March.

The goal isn’t to make the holidays perfectly predictable. It’s to prepare your practice and your team well enough that when the unexpected happens, you have the bandwidth to handle it.

Save this checklist for your Q4 planning, and for more of Dr. Duncan’s holiday prep strategy, listen to 🎙️ Episode 72: “How to Prepare for the Holidays as a Practice Owner.”

And if you want to go deeper on two of these topics, head back to Episode 55 for dealing with difficult patients and Episode 59 for the Gift of Health strategy.

Dr. Duncan hired four virtual assistants. Within the first week, she had already let two go. 😬

When we first talked about hiring virtual assistants back in Episode 68, we received so many emails and DMs from practice owners wanting to know more. Where did we find them? What tasks did we assign them? How did we train them? And was it actually working?

Well, six months later, we're back with an update. And we're not sugarcoating it. 🍬

Some of our virtual assistants have been incredible additions to our team. Others? Not so much. We've made hiring mistakes, learned some hard lessons, and had to rethink parts of our process.

In Episode 73 of ‘Million Dollar Chiro: The Podcast for Chiropractic Practice Owners,’ Dr. Mary Frances Duncan shares what's worked, what hasn't, and what she wishes she'd known before bringing virtual assistants into her practices.

Sometimes the most valuable business advice comes from sharing what *didn't* go according to plan.

Calling all the ones who were willing to take the chance.

The ones who opened the practice, signed the lease, put their savings on the line, hired the employees, made the hard decisions—and kept going without knowing exactly how it would all turn out.

Theodore Roosevelt’s “Man in the Arena” quotation has meant a lot to Dr. Duncan throughout her years as a business owner because it’s a reminder of something that can be easy to forget when you’re in the middle of it: there will always be people with opinions about how you should run your business, but you’re the one who had the courage to build it. 📸 [Pictured: Dr. Duncan getting the keys to her first office location in 2015!]

In our new Bonus: Behind the Scenes episode, Dr. Duncan looks back on 11 years of practice ownership—the hard lessons, the things she sees differently now, and what she wishes she could tell the version of herself who was just getting started.

If you’re in the arena too, this one’s for you. 🏟️

Recently Dr. Duncan spilled the beans. ☕️ If she could sit down for coffee with the version of herself who was just opening her first practice, she would tell her…

(You thought we were going to tell you in the caption? Not a chance!)

However, if you do listen, you’ll get to hear Dr. Duncan cover 11 years of practice ownership, two clinics, plenty of hard lessons, big decisions, growing pains, wins, mistakes, and everything that comes with being the person ultimately responsible for the business. Our new Bonus: Behind the Scenes episode gets more personal than ever before with Dr. Duncan about what she’s learned, what she sees differently now, what still challenges her, and what more than a decade in business has taught her about being an owner.

Your staff will frustrate you sometimes. Patients will frustrate you sometimes. Things will happen inside your practice that make you want to react immediately.

One of the things Dr. Duncan admired about Dolly Parton was how rarely she seemed to give someone else control over her response. Even when an interviewer tried to embarrass her or make her the punchline, Dolly had a way of staying composed and turning the conversation around through her self-deprecating sense of humor.

There’s a leadership lesson in that.

Owning a practice doesn’t mean you stop getting frustrated. It means learning the right way to respond to frustrating circumstances, especially when your team is watching how you handle pressure.

We’re talking about this and more in Episode 70, “What Dolly Knew: Part 1.”

Doubts are going to creep in when you own a medical practice, or any type of business. You’ll question a hire, a new system, a financial decision, whether you’re growing fast enough, whether you’re doing too much, or whether you’re not doing *enough*.

That’s part of ownership, but you shouldn’t have to navigate every decision without guidance from people who understand what it’s actually like to run a chiropractic practice.

That’s a big part of why we created Million Dollar Chiro. We share the lessons, mistakes, systems, and strategies we’ve learned in practice to help other chiropractors find a clearer path forward and feel more confident in the decisions they’re making.

The doubts will still show up. The goal is to get better at knowing what to do when they do. ⛵️
