Organizations waste an average of 11.4 cents for every dollar spent on projects due to poor performance. Globally that’s roughly $2 trillion in wasted investment every year.

The fix isn’t working harder or hiring more people. It’s building a project management system that actually runs, one where your team knows where work lives, who owns it, and what happens next.

I put together 13 non-negotiables for setting up a system that works. Not just for you, but for everyone on your team.

Comment PM below and I’ll send it to you.

Josh Menold runs a 68-person exterior construction company, has built 15 AI apps in his spare time, and named his parent company after something his grandfather scrawled on a grain bin. But the most interesting thing about this conversation isn’t any of that. It’s that he genuinely does not believe the leader’s job is to outwork everyone in the room. He believes the shepherd waits for all the sheep. We talked about what changed, and why.

Most business owners set up their project management tool without ever defining one thing, what’s actually a project versus a task. Get that wrong and the whole system becomes a place where work goes to get lost.

The founders who are most resistant to ops support are usually the ones who need it most.

I know they are capable. But they’re generally too close to their own business to see it clearly. You built this thing. Every process, every decision, every workaround that only works because you’re personally holding it together. That’s not a systems problem you can see from inside it.

If your business stops when you do, that’s your answer.

Swipe through, and comment quiz below and I’ll send you the link to find out whether your business can actually run without you.

There is someone on your team right now that you are working around instead of talking to. You know who it is.

This week I am sharing a personal story about what it cost me to wait, and then two actual frameworks, one for correction and one for challenge, so you can stop circling the conversation and just have it.

The founders most resistant to bringing in ops support are usually the ones who need it most.

It is generally because they’re too close to their own business to see it clearly.

When you built something from scratch, every decision you’ve made feels right from where you’re standing. The offer structure that made sense two years ago. The process that only works because you’re personally holding it together. The team dynamic you’ve been patient with past the point of reasonable.

You don’t see those things as problems. To you, they’re just the way it works.
An ops person sees them because they’re not inside the story you’ve written about your business.

If your business only runs because you’re in it, there is a solution for you!
