🔎 AI Myth vs Reality #14

❌ MYTH: “Once it’s automated, I can forget about it.”

✅ REALITY: Automated work still needs checking.

Imagine a customer message going out with an old price or a booking link that no longer works.

The process may be running exactly as set up—but the information has changed.

If you automate a task, make sure someone knows:
👉 What to check.
👉 When to update it.
👉 When a person needs to step in.

Start small and review what actually happens.

🛠️ AI in Action #14

Got customer feedback scattered across a list of comments?

AI can help you organise it into topics to review.

Remove names, contact details and sensitive information, then use an approved tool.

Ask:

“Group these comments by topic. Show which comments support each topic. Keep different opinions visible. Don’t invent feedback or assume everyone feels the same way.”

Check the result against the original comments.

You might spot a booking question that needs a clearer answer—or a service detail customers appreciate.

Choose one useful finding and discuss what to do next.

What do your customers keep asking you about?

📊 Executive Insight #14

AI helped you finish the draft.

Now it’s sitting in someone’s inbox waiting for approval. 🙂

That’s a reminder to look at the whole job.

What happens after the draft?
Who needs to act?
Do they know what decision you need from them?

Try adding a clear note when you send work for review:

“Please review these two points so we can take the next step.”

AI can help prepare the work. Clear communication helps move it forward.

Where do tasks tend to get stuck in your business?

⚡ AI Productivity Tip #14

Your manager and your customer may need an update about the same thing—but they probably don’t need the same explanation.

Try asking AI:

“Rewrite this approved update for a customer. Use plain language. Explain what it means for them and what happens next. Keep the facts unchanged. Don’t add promises.”

Then check:
✅ Are the details still correct?
✅ Is the next step clear?
✅ Is everything appropriate to share?

Use information you’re authorised to put into the tool.

Save this tip for the next time you need to turn an internal update into a customer message.

💡 AI Leadership Minute #14

You leave a training session thinking:
“I can definitely use this!”

Then Monday happens. Emails, calls and urgent requests take over. 🙂

If you lead a team, help people make room to practise.

Ask:
👉 What have you tried?
👉 What was difficult?
👉 What would help you take the next step?

Choose one small task and make time for it.

A useful follow-up conversation can help turn a workshop idea into an everyday skill.

What’s something you’ve learned recently that you still want to put into practice?

🔎 AI Myth vs Reality #13

❌ MYTH: “It’s in a neat table, so everything must be covered.”

✅ REALITY: A tidy comparison can still contain gaps.

Suppose you ask AI to compare three quotes.

Does each price include the same things?
Is delivery mentioned?
Is support included—or simply not discussed?

Add this to your prompt:

“If a detail isn’t in the information I provided, write ‘Not stated’. Don’t guess.”

Then check the table against the original quotes.

“Not stated” is a useful signal to ask a question before making your decision.

🛠️ AI in Action #13

Could someone else follow a process that currently lives mostly in your head? 🙂

Think about preparing for a customer appointment, setting up a workshop or completing a routine office task.

Write down what you do, then ask AI:

“Turn these notes into a simple checklist for someone doing this for the first time. Use clear action steps. Don’t invent missing steps—list anything I need to explain.”

Use non-sensitive information.

Check the checklist yourself, then ask a colleague to try it. Their questions will show you what still needs explaining.

What’s one process you find yourself teaching repeatedly?

📊 Executive Insight #13

If AI helped you get half an hour back in your working day, what would you do with it?

Call a customer you’ve been meaning to contact?
Catch up on unfinished work?
Give an important task proper attention?
Finish the day with less pressure?

When trying AI, decide what the saved time would help you achieve.

Try completing this sentence:

“I want help with ______ so I have more time for ______.”

Then check whether your new approach actually delivers that benefit.

What would go in your two blanks? 🙂

⚡ AI Productivity Tip #13

“Make it sound like me.”

Ever given AI that instruction and still received something you would never say? 😅

Try showing it a short example of your writing.

Then ask:

“Follow the tone and structure of this example. Use only my new notes for the facts. Don’t copy names, dates or details from the example.”

Use a sample without private information, and check the finished draft carefully.

An example gives AI something more specific to work with than “friendly” or “professional” alone.

💡 AI Leadership Minute #13

You might be new to AI and still be the person who knows the job best.

That experience matters. 🙂

You know which customer questions keep coming up.
You know what usually goes wrong.
You know when something won’t work in practice.

If you lead a team, pair someone comfortable with AI with someone who understands the task well.

Let them try one everyday job together and discuss what needs improving.

You don’t have to be the most technical person in the room to make a valuable contribution.

What part of your work do you know inside out?
