Before tax season, accounting firms should ask their IT provider six narrow questions. Two are urgent. The last day to file information returns through FIRE is November 19, 2026, at 3 p.m. ET, and tax year 2026 returns go through IRIS. Who owns your IRIS setup?

The other is restores: how many hours until a preparer works again, and what comes back first. Mike Stoveken of VJNetworks: "I don't recommend anybody mess around with backup unless they know what they're doing."

A Microsoft 365 migration has two bills. Licensing is a subscription Microsoft prices per seat. The project is a one-time fee driven by where your mail lives now, mailbox sizes, and the file server. Forty small mailboxes move faster than eight enormous ones.

Free help is rarely on the table: Microsoft's FastTrack needs at least 150 licenses per tenant.

Count your storage too. A tenant gets 1 TB of SharePoint plus 10 GB per license.

Co-managed IT cost has no sticker price, on purpose. It is scoped to the gaps your current IT person leaves, not your whole environment.

The hire side has numbers. BLS puts the May 2025 median wage for a network and computer systems administrator at $99,130, before benefits, tools, and months of ramp-up. Compare both over twelve months, not per month.

Co-managed IT works when the split is written down before anything breaks: who catches a password reset, who owns the firewall, who gets told when an alert names a user. One ticket queue that both teams can see comes first.

Mike Stoveken of VJNetworks: "We like to spell everything out. Just for that exact reason, there's no feeling of being nickel and dimed or surprise charged. Nobody likes that."

Access follows the same rule. Microsoft recommends fewer than five Global Administrators, a named account for every engineer, and two break-glass accounts nobody uses day to day.

The IT problems small offices call about most are passwords, printers, something that vanished, Outlook, and QuickBooks, in that order. None of them are local. They come from how small offices run.

Mike Stoveken of VJNetworks on number two: "If you ask any IT person what the number one most annoying thing to troubleshoot is, they're going to say printers 100%."

Number three has a clock on it. Exchange keeps a permanently deleted email 14 days by default, raisable to 30, and the window starts when it disappears, not when someone notices.

An IT support response time and a resolution time are two promises, and most proposals advertise only one. Response means a person picks up your problem. Resolution means it works again. A provider can answer fast every day and still take two days to get a replacement switch in the rack.

Gallup found only 12% of employees strongly agree their organization does a great job onboarding new employees. The IT half is the part you can finish before day one.

An IT onboarding checklist covers six things: their own Microsoft 365 account, MFA on the phone they carry, a laptop ready before the first morning, access by role, a talk about how you will and won't contact them, and a written record.

SHIELD, HIPAA, Part 500, the FTC Safeguards Rule, PCI DSS. Five compliance rules a Westchester business can meet, and most of them ask for the same core controls. Training and vendor oversight show up in every one.

Which rules apply depends on your industry and your data, not the county. Hold a New York resident's private information and SHIELD applies, with breach notice capped at thirty days after discovery.

Business email compromise cost victims more than $3 billion in 2025, per the FBI's Internet Crime Complaint Center. Usually there's no malware and no link. Just a short, urgent email that looks like the boss or a vendor, asking someone to move money.

Spam filters rarely catch it. A habit does: confirm any payment or banking change by calling a number you already had on file.

Then protect the accounts. Asked which controls matter most, Mike Stoveken of VJNetworks started here: "MFA on your public facing accounts, that's definitely one."

What does managed IT cost a Westchester business? Two offices with the same headcount can get quotes far apart, and the town is rarely why.

Mike Stoveken of VJNetworks: "Cost really comes down to their starting point. What do they have implemented already, what do they need, and also the size." Size comes last.

Is MFA enforced on every account? When was a restore last tested? Who still has access to what? Each answer is done or becomes work.
