— Overlap: paying for two tools that do the same job because nobody retired the old one.
— Per-incident charges that add up on break-fix/hourly — and that you can't budget for.
— Vague "managed services" bundles with no breakdown, so you can't audit what you can't see.

Quick audit: pull 12 months of invoices, list every recurring charge, and ask of each — do we use this, and do we need it at this level? Then count your licenses against your actual headcount. That last one catches a lot.

Here's the practical version:

— You're probably not as locked in as you think. Pull your contract and find the renewal date and notice window. That's your timing.
— Get your data and documentation lined up before you give notice. A good new provider can retrieve and rebuild what an unhelpful incumbent won't hand over.
— The transition itself is mostly invisible: tested backups first, after-hours work, done in stages. Usually two to four weeks.
— Time it around your renewal so the move is calm, not frantic.

Most business owners can't answer basic questions about their own IT: Did backups run? Is MFA on everywhere? How fast are issues getting resolved? They're taking it on faith.

A good provider shows you, without being asked. The reports you should be getting:

— Security: are defenses working, MFA on, threats handled.
— Backup & recovery: did backups run — and has a restore actually been tested?
— Tickets & response time: how fast, and what keeps recurring.
— Asset lifecycle: what's aging out, so you can budget for it.
— A strategic review: someone looking ahead with you, not just putting out fires.

A backup nobody has ever tested is just a hope. Visibility is trust.
