A quick HR question for business owners...

If an employee's role, hours or pay changes, have you updated their contract?

It's surprisingly common for businesses to promote employees, increase hours or change responsibilities, but never update the paperwork.

Everything works perfectly well until there's a disagreement and suddenly everyone is relying on a contract that no longer reflects reality.

Keeping contracts up to date doesn't have to be complicated, but it can save a lot of confusion later.

One of my recent projects has been completely rewriting an employee handbook for a hospitality business.

Employee handbooks are often overlooked until something goes wrong, but they're one of the best tools a business can have for setting clear expectations and supporting managers.

Over time, policies get added, amended and copied from old versions until nobody is quite sure what the current process is.

A thorough review helps ensure documents are up to date, legally compliant and written in a way employees can actually understand.

This particular handbook has been completely restructured and rewritten into plain English to make it more practical for both managers and employees.

Running a small business can feel a bit like this...

Everyone wants something at the same time.

A contract needs updating.

Someone's off sick.

A manager has a question.

A policy needs reviewing.

And somehow you're supposed to keep the business running too.

That's often where I come in.

Behind the scenes, I've spent much of the last month helping a client update contracts, job descriptions, policies and their employee handbook, helping them get the foundations in place before problems arise.

HR isn't always about disciplinaries and grievances.

Often it's simply making sure everything is organised, up to date and ready when you need it.

Famous last words before a 45 minute conversation šŸ˜‚

Most employee issues start with something that seems small:

ā€œOne employee keeps arriving lateā€¦ā€

ā€œSomeone’s gone off sick againā€¦ā€

ā€œThe team are complaining about one personā€¦ā€

ā€œI don’t think this employee is working outā€¦ā€

The difficult part usually isn’t the paperwork.

It’s knowing:

• what you can say
• how to handle it fairly
• what should be documented
• what risks there are if nothing is done

That’s where having HR support can make a huge difference šŸ¤

Honestly? I hear this more than people think.

A lot of small businesses start quickly, grow quickly, and HR paperwork gets pushed to the bottom of the pile.

Then suddenly there’s:

• An absence issue
• A disagreement about hours
• Confusion around holiday entitlement
• No clear policies
• No documentation

And that’s usually when panic sets in.

Getting the basics right early makes such a difference, for both employers and employees.

Contracts, policies and clear processes don’t need to be overwhelming or full of jargon.

Something that’s genuinely surprised me since starting my HR business…

A lot of small businesses still don’t have: • contracts for every employee • an employee handbook • up-to-date policies • clear disciplinary or absence procedures

Most of the time it’s not intentional, businesses grow quickly and HR paperwork gets pushed further and further down the list.

But problems usually appear when:

• someone goes off sick

• there’s a disciplinary issue

• an employee resigns

• or a disagreement happens

That’s normally the point employers realise their documents are outdated… or missing completely.

Getting the basics in place early can save a huge amount of stress later on šŸ¤
