🌧️ Winter has officially arrived, Perth β€” and if you're a small business owner working from your home office right now, you're probably wrapped up with a warm drink wondering how to squeeze more productivity out of your day!

Here's something worth thinking about: AI tools are no longer just a "big business" thing.

According to the NAB SME AI Report (April 2026), 42% of Australian small businesses are now actively using AI in their operations β€” and WA businesses are actually leading the charge, with around 40% early adoption across the state.

So what are small business owners actually using AI for?

The top two uses are:
✍️ Content drafting and marketing (51%) β€” think social media captions, email newsletters, blog posts and website copy.
βš™οΈ Operational tasks (39%) β€” things like scheduling, templating, document creation and workflow automation. Pretty exciting, right?

But here's the honest truth we hear from busy business owners all the time: knowing WHICH tools to use, setting them up properly, and actually maintaining the systems consistently? That's where things get overwhelming β€” fast. That's exactly where having a great admin or personal assistant makes all the difference.

Whether you're embracing AI-powered workflows or prefer tried-and-true traditional processes, having someone to help you set up, manage and run your admin systems means you can stay focused on what you do best β€” growing your business.

At Busy Bee Admin, we love helping Perth's small business owners take the chaos out of the back end, so the front end can shine.

🌟We recently integrated ChatGPT into a PowerAutomate flow, making a drafted report appear like magic in SharePoint.

🌟Not AI, but it's automation - we have automated form completion using scripts in Excel, with files appearing like magic in Google drive.

So tell us β€” are you already experimenting with AI tools in your business? Or still figuring out where to start? Drop a comment below, we'd love to hear where you're at! πŸ‘‡

Is your to-do list running you instead of the other way around? We're well into April now β€” the days are getting shorter here in Perth, and if you're a small business owner working from home, the end of the financial year is quietly creeping closer.

It's a good time to ask yourself: am I actually working ON my business, or just constantly working IN it?

Here's something worth sitting with. Research shows that small business owners who delegate their admin tasks reclaim anywhere from 10 to 25 hours every single week. That's not a typo. Hours that can go back into strategy, clients, growth β€” or honestly, just switching off at a decent time. πŸ˜…

And the trend is only growing.

In 2026, 83% of small businesses plan to maintain or increase their outsourcing spend, and 54% of SMEs are expected to outsource at least one core business function. Businesses aren't just dabbling in delegation anymore β€” they're building real, collaborative partnerships with the right support people.

So where do most business owners start? Usually with the tasks that eat the most time but don't need to be done by YOU specifically:

βœ‰ Email management
πŸ“„ Document preparation
πŸ“ Data entry
✈️ Travel bookings

These are classic executive assistant and virtual admin tasks β€” and getting them off your plate can genuinely change how your week feels.

The shift in 2026 is away from big, impersonal providers and toward boutique specialists who actually understand your business.

So tell me β€” what's the ONE admin task that's been on your list far too long? Drop it in the comments πŸ‘‡

Cameron Adams, Canva's Co-Founder has just attended AI Vision in New York. One thing he shares about using AI that "teams moving fastest aren't waiting for the perfect tool. They're starting small, automating tasks, experimenting with drafts, and building from there."

One of my clients is building a great tool to use with their clients. I am helping them build this using Office365, Power Automate and AI. It's so cool seeing the automations work and a result produced without humans being involved. It certainly saves time and produces a better result!

You can too. Talk to me about what you'd like to achieve.

πŸ‚ As we ease into autumn here in Perth, it feels like a good time to pause and check in β€” not just on your business, but on YOU.

If you're a small business owner working from home, you'll know this feeling all too well: the laptop is always there. The to-do list doesn't clock off. The line between "work mode" and "home mode" gets blurry, fast. And with hybrid and remote work now the norm for so many of us (55% of workers prefer it, according to Robert Half's 2025 data), more of us are navigating this juggle than ever before.

Here are a few things that can genuinely help πŸ‘‡
βœ… Create a hard stop time β€” and stick to it. Set an alarm if you have to. Close the laptop. The emails will still be there tomorrow.
βœ… Protect at least one "no meeting" block in your week. Use it for deep work, planning, or honestly β€” just having a break.
βœ… Set up a dedicated workspace if you can. Even a consistent corner of a room signals to your brain that work has a place, and so does rest.
βœ… Track your workload honestly. If you're consistently overwhelmed, that's not a personal failing. It might be time to look at what you can hand over. Busy Bee Admin might be able to help you!

And if you're finding the mental load is really getting on top of you, please know there is free support available specifically for small business owners. Beyond Blue's NewAccess for Small Business Owners program offers up to 8 FREE coaching sessions with someone who actually understands what running a business is like.

Working from home in Perth? πŸ β˜€οΈ

Let's be real – the 'Perth juggle' is REAL. You're running your business from the home office, maybe squeezing in a coffee run to your local cafΓ©, and somehow trying to stay on top of admin, marketing, client calls, business networking and everything in between. Sound familiar? πŸ˜…

Here's the good news:
AI tools are no longer just for the big corporates. There are some genuinely brilliant (and affordable!) options that can save you HOURS each week. But here's the catch – you actually need time to learn them, set them up, and use them consistently. That's where the magic happens. ✨

πŸ€– A Few AI Tools Worth Your Time:

β€’ ChatGPT – Perfect for drafting emails, social media captions, or even brainstorming blog ideas when your brain's fried after back-to-back Zoom calls.

β€’ Otter.ai – Automatically transcribes your meetings and calls. No more frantic note-taking or forgetting what was said in that important client chat.

β€’ Canva Magic Studio – Need a quick graphic for Instagram or a polished proposal cover? Canva's AI design tools can whip something up in minutes, even if you're not a designer.

But here's the thing:
These tools are only helpful if you have the TIME and ENERGY to implement them properly. That's exactly what we do at Busy Bee Admin.

🐝 We don't just recommend tools – we help you integrate them into your workflow, manage them for you, and make sure they're actually SAVING you time (not creating more overwhelm). Think of us as your behind-the-scenes tech-savvy support crew, so you can focus on what you do best – running your business and maybe even sneaking in that sunset beach walk. πŸŒ…

Whether it's setting up automations, managing your AI-generated content, or just taking the admin chaos off your plate entirely, we've got you.

Question for you: What's the ONE admin task you wish you could wave a magic AI wand over and automate today? Let us know in the comments! πŸ‘‡

February is the perfect time to lock in the habits that'll carry your business through 2026! 🌟 If you're running your business from home here in Perth, you already know the juggle is real. So let's talk about what's actually working right now for Aussie small business owners:

✨ Task batching is your new best friend. Instead of checking emails every 10 minutes, try handling them just 2-3 times daily. Batch your admin, invoicing, and social media into dedicated blocks. Perth businesses are reporting up to 40% productivity gains simply by reducing context switching and automating repetitive tasks like follow-ups and reminders.

πŸ“Š Block out your "CEO time" each week. Just an hour dedicated purely to reviewing your numbers, metrics, and systems (not getting buried in the day-to-day). This one shift helps you work ON your business, not just IN it.

πŸ“ Systemise before you hire. Document your processes first. It cuts training errors dramatically and protects you when staff move on.

⏰ Set boundaries with clients around turnaround times and after-hours access. You're working from home, not living at work. Fair Work standards apply to you too!

Here's the thing: implementing these strategies takes time upfront. That's where having support with the admin batching and systemising side makes all the difference. (Just saying! 😊)

Every productivity win counts toward keeping more in your pocket. What's your biggest time management challenge right now? Drop it in the comments – let's problem-solve together! πŸ‘‡

Did you know there's money sitting on the table for your home-based business right now? πŸ’°

If you're a small business owner working from home in Perth (or anywhere in WA), February is actually a brilliant time to look into grants and funding support.

Here's a snapshot of what's currently available:

βœ… City of Stirling Small Grants Round 3 – up to $5K for business initiatives (closes 28 Feb, so move quickly!). These grants are awarded quarterly to eligible applicants who can demonstrate benefits to the community.

βœ… Quick Response Grants (Stirling) – up to $2K, available year-round, includes funding for becoming incorporated, and public liability insurance

βœ… City of Fremantle Small Business Grants – up to $2K for marketing (great for retail, hospitality, tourism businesses)

The thing is, most small business owners are so busy IN their business that they don't have time to research what's available or tackle the application paperwork.

That's where a bit of strategic support can make all the difference. Whether it's researching eligibility, gathering required documents, or simply having someone keep track of deadlines while you focus on serving your clients – sometimes outsourcing the admin is the smartest investment you can make.

Have you ever applied for a business grant? What was your experience? Drop a comment below – I'd love to hear your stories! πŸ‘‡

(And if grant research feels overwhelming, that's exactly the kind of admin support I can help with. Feel free to reach out!)

For those of us with small teams, we have a lot on our plate to remember, especially with compliance! Here is a reminder about the changes coming to Super payments in 2026 that'll affect how you manage your cash flow.

From July 1, 2026, the way we pay Super is getting a major shake-up. Instead of the quarterly payment cycle we're used to, Super contributions will need to be paid at the same time as wages (called "Payday Super") – and they must land in your employees' Super funds within 7 calendar days of each payday. It's another step that can't be put off to do quarterly anymore.

For those of us running businesses from home, this is a significant shift that'll impact:
βœ… Cash flow management (no more spreading super costs across the quarter)
βœ… Payroll processes and timing
βœ… Administrative workload and systems
βœ… Your relationship with your bookkeeper or accountant

The good news? You've got time to prepare! Here's what you can start doing now:

πŸ“Œ Review your current cash flow forecasting
πŸ“Œ Chat with your accountant about the impact on your business
πŸ“Œ Consider upgrading your payroll software if needed
πŸ“Œ Speak to your bookkeeper about paying Super on payday
πŸ“Œ Start building a buffer in your cash reserves
πŸ“Œ Document your new payroll processes

This change is designed to get Super into employees' accounts faster (which is great for them!), but it does mean we need to be more organised with our admin and finances.

If payroll admin isn't your favourite task (let's be honest – whose is it? πŸ˜…), now might be the perfect time to think about systems and support that can help you stay compliant without the stress.

Have you started planning for this change yet? Have you got it sorted already? I'd love to hear how other WA small business owners are preparing!

Did you know that you can boost protection of your myID by verifying your drivers licence photo?

This is a one-off face verification check where you take a selfie that's compared to the photo on your drivers licence.

This is a new feature. I haven't been able to reach a 'Strong' identity strength as I currently don't have a passport. This affected my RAM authorisation (links your business to your ID) and would have to renew every year. Now I won't have to.

The verification literally only took seconds. It's a very quick process and easy to update.

https://www.myid.gov.au/news/boost-your-myid-with-your-drivers-licence

We’re introducing photo verification using a drivers licence to the myID app.
